Comparison of online meetings tools - Vectera V/S Meetfox and Vectera V/S Zoom

Which is a tool that is best for you to set up an online meeting with your clients?

Today, I tried to make an effort to check various tools available online to schedule the meeting with the clients.

The following are the tool I considered for comparison.

1) Vectera

2) Zoom

3) Meetfox

First, let us take up the case of comparison between Vectera and Meetfox.

Both Vectera and Meetfox offer the possibility to schedule meetings with clients in person or online, and no downloads are needed. It's possible in Vectera and Meetfox to have a video meeting or do audio only, you can share your screen and record sessions.

But what makes Vectera different from Meetfox?

1. Start meetings

In Vectera you have multiple options to make meeting rooms and to invite your client. You can make different appointment types so your client can book a meeting on your agenda and auto-create a meeting room. You can also create a meeting room in your dashboard for team meetings or just quick idea exchanges. Meetfox only gives the option for a meeting room after someone books a meeting.

You can have group video meetings with up to 6 people in your Vectera meeting rooms, add team members to your team, and fully integrate Vectera in your own domain. So Vectera can be used for more than just one-on-one meetings!

Both Meetfox and Vectera are 'device agnostic' meaning they can be used on pretty much all devices with a recent browser.

You can let your clients join the meeting room in your branded waiting room on your own website.

2. Scheduling

Let us look at various features of Meetfox

Meetfox offers an easy to use scheduling feature which makes it possible to sync your Google or Outlook calendar. What about other calendar programs? Vectera offers synchronization with your Google or Outlook calendar but also for Office 365, Exchange and iCloud. Everyone should be able to connect, right?

In Meetfox you can set your availability day by day with start and end times. Nice if you work in large blocks but seems like a lot of work if you have a few fixed moments in your Calendar every day. In Vectera it's possible to set your availability per appointment type in one calendar view, fast and easy!

3. Don't limit yourself to classic audio/video/screen share. Bring more creativity and engagement in the conversation.

Like most classic meeting solutions, Meetfox meeting rooms have good online meeting features: audio/video/screen sharing. These are the basics that should work, every single time.

But what if you could demo your app together with your client? Or give interactive support to your client? Or draw a server infrastructure, a revenue plot, or any other graph on a whiteboard?

Vectera has integrated whiteboards that enable you to write down meeting minutes, visualize spec lists, show proposals and so much more.

And best of all, your work and creativity are automatically synced with all participants and stored in the meeting room. The next time you meet in the same meeting room, everything will be there just like you left it.

4. How about screen share and co-browsing?

Sharing screens is possible in Meetfox and Vectera. Both work exactly in the same way: you have the opportunity to share your full screen, an application window, or a browser tab. Then you select the screen you want to share and it works.

But if you want to go the extra mile and make it possible to work together on a shared screen, you will need to co-browse. Vectera offers the possibility (in Chrome) to allow your participant to browse on your shared browser tab. This means your guest can take over your browser tab (or vice versa).

5. Everything stays in place, ready for the next meeting. No need to re-explain, re-upload, re-copy-paste.

When a regular video meeting ends, everything is gone. In Meetfox you can choose to pause the meeting or to end it. If you end the meeting, you only keep the chat history and files you shared in chat.

Vectera works fundamentally differently: Create persistent video rooms for each of your clients or projects and keep track of all content and communication in one single place. All notes, documents, and meeting recordings stay in this virtual meeting room.

When meeting the customer again, you can pick up the conversation where you have left off.

2) Comparison of Vectera and Zoom

Wonder how Vectera compares to Zoom? Zoom handles webinars and huge group conversation quite well. But meeting (new) clients is a whole other way of communicating where meeting friction can make or break a fragile relationship with a client.

Let's start with a direct comparison of the features that really matter in your day-to-day use. Next, we'll look at great additions that make your online meetings more effective. To conclude, we have an in-depth more technical video streaming comparison.

We continuously evaluate all key players in the videoconferencing field and make sure Vectera offers the best value for a really sharp price tag.

Don't have time to read the in-depth comparison? Check the wrap-up table and start better video meetings now.

1. No downloads, no mess, no frustrations

Say yes to simplicity: The only thing you need for Vectera is a browser. No need to download (and update!) software packages and installers on your system. Instead of 7 clicks, reboots, and sign-ins, Vectera signs you up in 1 click and lets you start a meeting with 1 click.

2. Professional look and feel marks a good first impression

Vectera has been built with a strong focus on interactions with external clients: Sales, training, customer demos, support, and more.

When you meet your (potential!) client for the first time, you want to make a good impression. All Vectera rooms have a super clean, modern look and feel. And some emojis, if that suits you.

Think about Vectera as a professional-looking lobby, with a custom branded waiting screen to give your client a warm welcome. It's even better than a lobby in a building: this one has

analytics.

3. Don't limit yourself to classic audio/video/screen share. Bring more creativity and engagement in the conversation

Classic meeting solutions all boast the same features: audio/video/screen sharing. These are the basics that should work, every single time. We got these dialed.

Check the productivity section on our blog to get an idea of what you can achieve with the whiteboards and content.

4. Everything stays in place, ready for the next meeting. No need to re-explain, re-upload, re-copy-paste.

When a traditional online meeting ends, everything is gone. Vectera works fundamentally differently: Create persistent video rooms for each of your clients or projects and keep track of all content and communication in one single place.

All notes, documents, and meeting recordings stay in this virtual meeting room.

The client can come back to the virtual room any time to re-check the discussed content. Next time you meet the client again, you can pick up the conversation where you have left.

5. Align your sales and customer success teams:

Vectera has a strong focus for sales and customer success teams; Vectera is created to deliver a much more seamless experience with the apps you are working with on a daily basis.

With Vectera persistent meeting rooms, all communication is stored throughout the entire client journey:

  1. Sales teams can start online meeting rooms without any friction: Automatically generate new meeting rooms based on calendar bookings

  2. Most deals take 2-6 conversations -> all historic communication can be found in the meeting rooms

  3. When the deal is closed, the room (including meeting minutes, private notes, wrap-ups) is handed over to the customer success team. -> The client does not need to tell his/her story again, which is a real time-saver for both parties!

  4. A colleague of your client asks the same information again? Just send them the recordings.

  5. Leverage the API for integrations with your own app or CRM: Automatically generate rooms based on triggers in your app, fill rooms with any presentation or document.

Wrap up & Pricing

Zoom did its homework with the pricing: An attractive low starting point (€13,99) that covers quite a few features. But don't hit the recording button more than +-3 times for a 1-hour conversation, or you'll need to add €40 (100gb), €100 (500gb), or €500 (3TB) to the low price tag.

In the comparison below, we compare the Zoom business plan with Vectera.

This is the typical setup for a sales and customer success team that need CRM integration.

Vectera works with a simple base price and can be extended with à la carte features tailored to your situation (eg scheduling)
